This Privacy Notice describes how PoliceApp.com, Inc. (collectively, "PoliceApp", "we", "us", or "our") may collect, use, disclose, retain, and protect personal information across our various websites and services including but not limited to PoliceApp.com, FireFighterApp.com, PublicSafetyApp.com, EmploymentApp.com, CertAssist, and MuniTicket (collectively, "websites" or "services"). By visiting our websites, you are accepting the privacy policies described herein.

Personal Information

In the course of offering and providing our services, it is common for us to receive sensitive information, some of which constitutes personal information. Generally, personal information is any information that can be used, directly or indirectly, to identify, locate or contact someone. Types of personal information include names, physical addresses, social security numbers, email addresses, phone numbers, bank account numbers, and driver's license numbers. Under certain circumstances, personal information may also include other information that can reasonably be linked to a particular person, such as internet protocol (IP) addresses, unique device identification numbers, employment information, medical information, and internet activity.

Relationship with Other Entities

In offering our services, we may collect personal information on behalf of another entity, its agents, subcontractors, or vendors ("entity" or "entities"). For example, PoliceApp may collect personal information from you as part of an employment application on behalf of a hiring public safety agency. In these situations, PoliceApp acts as the "processor", while the owning entity acts as the "controller" of that personal information. When acting as the processor, the privacy policies of the controller, and not PoliceApp, will dictate the collection, use, disclosure, retention, and disposal of your personal information. A controller may use the PoliceApp websites, or direct PoliceApp itself, to disclose or share information with other entities. This is done at the controlling entity's sole discretion. PoliceApp also maintains a relationship with Web Solutions, Inc., our technology partner, who provides serivces while acting as a processor of PoliceApp.

Personal Information We Collect and Use

We collect, use, and disclose your personal information to fulfill the purpose for which it was provided to us. In offering its services, PoliceApp collects and uses the following types of personal information:

Contact Information

  • Intended use: When making an inquiry regarding our services, we use your information to answer your inquiry and communicate with you.
  • Types of data: When making an inquiry regarding our services, we may collect your contact information including your name, contact information (such as email address, phone number, and physical address), and device / IP address information.
  • How long we retain: In providing our services, we retain your contact information indefinitely.
  • Who we share with: In communicating with you, we may share your contact information with our communications providers including, but not limited to: Mailchimp, HubSpot, Salesforce, Twilio, Nexmo, AWS SES, and/or Mailgun.

Job Alert Subscription Information

  • Intended use: When you sign up for job alert notifications, we use your information to provide you with timely and relevant information regarding job openings that may interest you.
  • Types of data: When you sign up for job alert notifications, we may collect your email address, phone number, and notification preferences.
  • How long we retain: In providing our services, we retain your job alert subscription information until you unsubscribe.
  • Who we share with: In providing job alert notifications, we may share your contact information with our communications providers including, but not limited to: Mailchimp, HubSpot, Salesforce, Twilio, Nexmo, AWS SES, and/or Mailgun.

Account Information

  • Intended use: When you create an account with us, we use your information to provide account-related functionalities including logging in, managing your account information, receiving communications and notifications, and applying for jobs with employers.
  • Types of data: When you create an account with us, we may collect general account information including your name, email address, phone number, communication preferences, physical address, other sensitive information (such as password and social security number), and device / IP address information.
  • How long we retain: In providing our services, we retain your account information until you terminate your account.
  • Who we share with: In maintaining your account, we may send you transactional communications (i.e. password reset emails, two factor tokens via SMS). To do so, we share your contact information with our communications providers including, but not limited to: Mailchimp, HubSpot, Salesforce, Twilio, Nexmo, AWS SES, and/or Mailgun. Some account demographic information may be shared with employers when you apply to their job openings through our service (i.e. your name, email address).

Payment Information

  • Intended use: When you pay for a service provided by us, we use your information to process your payment.
  • Types of data: When you pay for a service provided by us, we may collect payment information including credit card information, electronic check information, billing address, and device / IP address information.
  • How long we retain: In providing our services, we retain your payment information only as long as necessary to successfully process your payment. We retain your billing address, and device / IP address information indefinitely for payment reconciliation purposes.
  • Who we share with: In processing payments, we share your payment information with our payment processing providers including, but not limited to: Stripe, Square, PayPal, and/or Authorize.net.

Job Application Information

  • Intended use: When you apply for direct employment by PoliceApp.com, Inc., we use your information to consider you for employment.
  • Types of data: When you apply for employment by PoliceApp.com, Inc., we may collect general employment application information including your name, contact information (such as email address, phone number, and physical address), your resume, and device / IP address information.
  • How long we retain: In providing our services, we retain job application information indefinitely.
  • Who we share with: We do not share job application information with third parties.

How We Collect Personal Information

During the course of offering our services, we receive personal information in several ways:

Information you directly give us
You may directly provide us with personal information about you by submitting a form to us via our websites or by corresponding with us by phone, e-mail, at a trade event, or otherwise.

Information given to us about you
When acting as a processor, PoliceApp may receive additional personal information about you from the controlling entity. For example, when applying for employment with a public safety agency (the controller) through PoliceApp's website (the processor), that public safety agency may upload additional information or documentation regarding your employment application.
Information given to us from third parties may include:

  • Contact information
  • Demographic information
  • Examination scores / results
  • Background investigation results
  • Polygraph results
  • Physical assessment results
  • Reference checks
  • Vehicle information
  • Driver information
  • Education information
  • Employment information
  • Criminal history or CJIS information
  • Credentials or other authenticators
  • Protected Health Information

Information we collect about you
When visiting our websites, information we automatically collect may include:

  • IP address or other geolocation information.
  • Browser information such as type and version, time zone setting, and operating system and platform.
  • Browsing activity such as information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through, and from our websites (including date and time), products or services you viewed or searched for, page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number.
  • Other technical information, identifiers, or profile data.

Retention of Personal Information

Your personal information will be retained by us for as long as is required for the purposes as set out in this Privacy Notice; however, a longer retention period may be applied where required by applicable law or where we have a legitimate and lawful purpose to do so.

Protection of Personal Information

PoliceApp will use appropriate administrative, technical, and physical safeguards and organizational measures, including but not limited to any security measures required by applicable law, that are designed to:

  • ensure the security, confidentiality, and integrity of personal information;
  • protect against any anticipated threats or hazards to the security or integrty of personal information; and
  • protect against unauthorized access to or use of personal information that could result in substantial harm or inconvenience to you.

Choice and Consent

We will obtain your consent to collect, use, or disclose your personal information, where required by applicable law, though one or more of the following means:

  • Voluntarily filling in or submitting your personal information on our websites or services
  • Explicitly through an unambiguous affirmative action, such as:
    • ticking a checkbox, button, or other such signifier
    • allowing a web browser to send geographic or other data
    • a written statement
  • Freely using our websites or services
  • Contacting us by a form on our website, email, text message, chat, phone, or other direct means

Explicit consent will be sought before collecting certain categories of personal information, including sensitive personal information, as defined and required by application law.

When your personal information is to be used for a purpose not previously identified, we will disclose the new purpose to you before such use and seek your consent, where required by applicable law.

If you deny or withdraw consent, you may be unable to use some or all of the services and features offered through our websites. You may withdraw consent by using the contact methods in the "Contacting PoliceApp" section below.

De-Identified Information

This Privacy Notice does not restrict our collection, use, or disclosure of any non-personal or de-identified information. "De-identified information" means information that cannot reasonably be used to infer information about, or otherwise be linked to, an identified or identifiable individual, or a device linked to such individual. De- identified information may be used for various purposes such as troubleshooting, testing, development, marketing, reporting, research, and analytic purposes.

Cookies

Our websites, like most websites, employ "cookies" and similar technologies. Cookies are small files that are stored on your computer or mobile device when you visit our websites and allow us to recognize your browser and obtain information about your use of our websites, facilitate social media interaction with us, and improve our marketing efforts and performance of our websites. You can adjust your browser settings to enable you to decide if you want to accept a certain type of cookie or not. However, some of the services and features offered through our websites may not function properly if certain cookies are disabled. Some browsers have a "do not track" feature that lets you indicate that you do not wish to have your online activities tracked. These features are not yet uniform, so we do not currently respond to such features or signals. Therefore, if you select or turn on a "do not track" feature in your web browser or block or delete tracking cookies, we and our third-party providers may nevertheless continue collecting information about your online activities as described in this Privacy Notice.

Links to Other Websites

Our websites may contain hyperlinks to other websites that are not operated by us. These hyperlinks are provided for your reference and convenience only and do not imply any endorsement of the activities of such third-party websites or any association with their operators. We do not control these websites and are not responsible for their personal information practices. We urge you to review any privacy policy, notice, or statement posted on any website you visit before using the website or providing any personal information about yourself or others.

Third-Party Applications and Services

Some applications and services embedded within, or linked from, our websites, such as maps and social media platforms, are controlled by third-party providers. These third parties may use cookies, alone or in conjunction with other tracking technologies, to collect information about you when you use our websites or navigate away from our websites. These third parties may also have privacy policies that differ from ours. For example, they may collect personal information about your online activities over time and across different websites, and other online services, and may use this information to provide you with interest-based (behavioral) advertising or other targeted content. We do not control these third-parties or their privacy practices, and this Privacy Notice does not apply to any third-party websites or service you may access through our websites. If you have any questions about a third-party provider's privacy policies or advertising, you should contact the responsible provider directly.

Our websites use Google Analytics to help analyze how visitors use the site. Google Analytics uses "cookies," which are text files placed on your computer, to collect standard internet log information and visitor behavior information in an anonymous form. The anonymous information generated by the cookie about your use of the website is transmitted to Google. This information is then used to evaluate visitors' use of the website and to compile statistical reports on website activity for our websites only.

We will never use Google Analytics to track or to collect any personally identifiable information. Google will not associate your IP address with any other data held by Google. Neither we nor Google will link, or seek to link, an IP address with the identity of a computer user. We will not associate any data gathered from this site with any personally identifiable information from any source, unless you explicitly submit that information via a fill-in form on our website.

We use Google Analytics remarketing codes to log when users view specific pages or take specific actions on a website. This allows us to provide customized advertising in the future across other websites you may visit. If you do not wish to receive this type of advertising from us in the future, you can opt out using Google’s ad personalization settings or the Network Advertising Initiative opt-out page.

Commitment to Children's Privacy

We do not knowingly collect information from children under the age of 13 or target our services to children under 13. Our websites are not intended for children under 13 years of age. No one under age 13 may provide any information to or on our websites. If you are under 13, do not use or provide any information on our websites, register on our websites, or provide any information about yourself to us, including your name, address, telephone number, email address, or any screen name or username you may use. If we learn we have collected or received personal information from a child under 13 without verification of parental consent, we will delete that information. If you believe we might have any information from or about a child under 13, please contact us using the contact methods in the "Contacting PoliceApp" section below.

Your Rights

You may have additional rights with regards to your personal information based on your geographic location. Residents of Connecticut have the below additional rights as delineated by the Connecticut Data Privacy Act ("CTDPA") (Conn. Public Act No. 22-15) :

Right to Access
You have the right to know whether or not we are processing your personal information and to access the personal information we hold about you.

Right to Correct
You have the right to correct inaccuracies in the personal information we hold about you.

Right to Delete
You have the right to request that we delete any personal information we hold about you. Once we verify your request, we will delete any personal information from our records. Please note, however, that we may not be able to delete all personal information about you in certain circumstances, such as to provide a product or service you requested, fulfill a contractual obligation, or due to record retention requirements under applicable law.

Right to Data Portability
You have the right to obtain a copy of your personal information we hold about you in a portable and readily usable format, to the extent technically feasible.

Right to Opt Out
You have the right to opt out of (i) the processing of your personal information for profiling and/or targeted advertising, and (ii) the sale of your personal information. We do not engage in profiling. You may opt out of targeted advertising by adjusting your cookie preferences on our websites, visiting the opt-out request pages of industry groups providing broad opt-out options like the Network Advertising Initiative, Digital Advertising Alliance, AdChoices Canada, or European Interactive Digital Advertising Alliance, or by visiting the specific ad networks like Google, LinkedIn, Twitter, and Meta. Please note that opting out with industry groups or advertising networks will only apply to the specific browser or device from which you opt out. On your mobile device you may also go to your device settings and select "Limit Ad Tracking" (iOS devices) or "Opt-out of interest-based ads" (Android devices), which will allow you to limit our use of information collected from or about your mobile device for the purposes of displaying online targeted advertising to you. We do not participate in the "sale of personal data", as defined by the CTDPA.

Authenticating Your Request
When you contact us, you will need to provide us with enough information to authenticate your request. The specific information we request to authenticate your request will depend on how you make the request, what right you are exercising, and our relationship to you. You must also provide a description of what right you want to exercise and the information to which your request relates. If we are unable to reasonably authenticate your request, we may deny your request.
Your authorized agent may exercise your right to opt-out on your behalf. If you are using an authorized agent to submit a request on your behalf, we must authenticate your identity and authenticate the authorized agent's authority to act on your behalf.
The method of authentication will be determined by the data rights you request to exercise, the type, sensitivity, value, and volume of personal information involved, the level of possible harm that improper access or use could cause to you, and the cost of such authentication to us.

Responding to Your Request
We will respond to authenticated requests within forty-five (45) days of receipt.
We are not required to: (1) maintain data in identifiable form, or collect, obtain, retain, or access any data or technology in order to associate your request with your Personal Information; or (2) reidentify de-identified data or pseudonymous data.
We will comply with authenticated requests free of charge at least once every twelve (12) months, unless your requests are manifestly unfounded, excessive, or repetitive, in which case we may charge a reasonable fee to cover the administrative costs of complying with your request.

Appeal
If we refuse to take action on your request to exercise any of your rights described above, you can appeal our decision within a reasonable time by submitting an appeal using the contact methods in the "Contacting PoliceApp" section below. We will consider your appeal and inform you of our decision within sixty (60) days of receiving your appeal. If your appeal is denied, we will provide you notice of such decision and a method of submitting a complaint to the Connecticut Attorney General's office.

Changes to Our Privacy Policy

PoliceApp reserves the right to modify this Privacy Policy at any time without prior notice. Any changes to our Privacy Policy will be posted on our website and you will be notified, where required by applicable law, by email or through a notice on our website. The date this Privacy Notice was last revised is identified above. You are responsible for ensuring we have an up-to-date active and deliverable email address for you, and for periodically visiting this Privacy Notice on our website to check for any changes.
